Before the Wedding Day

Step 1: Tour the Venue in Your Wedding Season

Schedule a venue tour during the time of year you plan to marry, or as close to it as possible. Foliage, light, and shade patterns change dramatically across seasons. What looks lush and green in spring may be golden and sun-drenched in fall. Both can be stunning, but you want to see it.

If an in-season visit isn’t possible:

During your tour, photograph the natural elements, like trees, gardens, and light angles, to share with your florist when planning arrangements that complement the surroundings.
 

Step 2: Choose Your Wedding Theme and Décor

Once you’ve secured your venue, the fun begins: choosing a wedding theme.

At Rough & Ready Vineyards, our wedding coordinator walks couples through our available theme collections and extensive linen inventory. You can work within an existing theme or create something entirely your own.

They used eggplant and marine-colored linens and personalized each table with its own destination — Paris, Harry Potter, Wine Country, and more. It was entirely unique to them, and guests are still talking about it.

Pro tip for outdoor weddings: Talk to your coordinator about weather contingencies early. For summer weddings, identify which areas are sunny vs. shaded during your ceremony and reception. Josh and Bryna knew their ceremony space would be in direct sunlight, so they provided parasols for guests—a practical and photogenic solution.
 

Step 3: Build Your Wedding Timeline

If there’s one thing that separates a smooth outdoor wedding from a chaotic one, it’s a detailed wedding timeline.

Your wedding coordinator will help you create a master timeline that tells every vendor — caterer, photographer, DJ, florist — exactly when to arrive, where to set up, and when their services are needed. The result: no one needs to interrupt the couple with questions on the wedding day.

Wedding timeline templates are available online as a starting point, but we will generate a floor plan with the information you’ve shared during our Planning Session.

Step 4: Create a Wedding Floor Plan

Alongside your timeline, your wedding coordinator will help design a wedding floor plan. This is a visual map showing where every vendor, activity, and seating area will be.

The floor plan gets emailed to all vendors in advance so the DJ knows their setup space, the caterer knows where to station food service, and guests can find their tables and activities without confusion.

Step 5: Hold a Wedding Rehearsal

A rehearsal is especially important for outdoor weddings, where spacing, timing, and entry paths can differ significantly from a traditional indoor ceremony.

Use our Wedding Ceremony Rehearsal Guide to document the processional order, where each person stands, and when they exit. Distribute printed copies to your wedding party ahead of the rehearsal.

If you decide to purchase our Day-of Coordination, we will conduct a rehearsal the Friday before your wedding with your wedding party to ensure everyone is confident and comfortable. By wedding day, everyone will walk in knowing exactly what to do — no last-minute scrambling.

Step 6: Book Your Vendors

Outdoor weddings often feature a more creative and eclectic mix of vendors than indoor events, and that’s part of their magic.

Start with your core vendors — caterer, photographer/videographer, and DJ — and then explore the extras:

We also maintain a list of trusted local vendors who know our venue well and have established relationships with our staff. New vendors are always welcome. We just ask that they complete a site visit in advance so they’re fully prepared on your wedding day.

On Your Wedding Day

With a detailed timeline, floor plan, and coordinated vendor team in place, your wedding day should feel celebratory, not stressful.

Here’s what our staff handles so you don’t have to:

  • Vendor coordination – Our team greets each vendor, confirms placement, and keeps everyone updated on timeline adjustments throughout the day
  • Setup and breakdown – Rough & Ready Vineyards staff handles all day-of setup and cleanup.
  • Ceremony logistics – We organize the processional and grand entrance, keeping timing with the DJ.
  • Golf cart transport – Guests needing assistance are transported between the ceremony area, cocktail hour, and reception. All you need to do is let our Venue Coordinator know at your Final Details meeting who will need assistance.
  • On-site support – Your coordinator is present all day, available to answer questions, coordinate with vendors, and make real-time adjustments to timeline and floor plan.

We also recommend putting together a wedding day emergency kit for getting-ready moments — for those unexpected but totally manageable mishaps.
